The current estimated cost for each Scout participating in the Florida Sea Base trip is approximately $2,600 per participant. This estimate is based on information available at the time this agreement is being prepared and may change depending on the final Sea Base adventure selected, crew size, transportation costs, airfare, lodging, food, Sea Base fees, fuel, and other trip-related expenses.
The estimated Sea Base registration cost includes a crew fee of approximately $11,500 per crew, which is divided among the participants in the crew. The troop's goal is to fill each crew to its maximum allowable capacity so that the crew cost can be distributed as efficiently as possible.
The troop committee has approved a $TBD contribution toward each Scout's trip cost. This contribution has already been incorporated into the payment amounts listed below.
The $2,600 estimate is not a guaranteed final cost. Airfare, fuel, lodging, transportation, Sea Base fees, food, and other travel expenses may change before the scheduled trip in July 2028. The troop will make reasonable efforts to control costs and will communicate significant changes to families as they become known.
If an unavoidable additional expense is incurred for a participant because of circumstances specific to that participant, the participant's family may be responsible for that expense. Such circumstances may include, but are not limited to, missed transportation, failure to meet eligibility requirements, lost travel documents, medical evacuation, or being required to return home.
A Scout may use available funds in their troop Scout Account toward the cost of this trip. Families who would like to use Scout Account funds should indicate this on the signature page. The troop will provide the current available balance and apply the requested amount toward the Scout's trip expenses in accordance with troop policies.
The family remains responsible for any balance due after available Scout Account funds have been applied. Additional fundraising opportunities will be made available for scouts participating in this trip.
The $300 initial deposit is non-refundable and represents the family's commitment to participate in the trip.
Once a participant has committed to the trip, all payments are non-refundable unless another eligible participant agrees to fill the participant's spot in the crew and the troop is able to transfer the applicable financial obligation without penalty.
Because the troop will make group reservations and financial commitments on behalf of the crew, cancellation by an individual participant may result in costs that cannot be recovered.
If a participant must withdraw, the family should notify the troop as soon as possible. The troop will make reasonable efforts to determine whether the participant's position can be filled by another eligible participant.
Any refund or transfer will be determined based on actual non-refundable costs incurred by the troop and the ability to replace the participant.
The estimated trip cost is intended to cover the following:
Florida Sea Base registration and program fees
The participant's share of the Sea Base crew fee
Round-trip airfare to and from Florida, as arranged by the troop
One night of hotel lodging during the trip to Florida, as planned by the troop
Food and meals during the group travel portions of the trip
Rental vehicles and transportation required for the troop's travel arrangements
Three moisture-wicking trip shirts
Other reasonable expenses directly associated with the planned Sea Base expedition
The trip cost does not include personal spending money, souvenirs, optional purchases, replacement of lost or damaged personal equipment, or expenses resulting from a participant's failure to meet Sea Base or Scouting America requirements.
The troop will provide additional information regarding personal equipment, packing requirements, spending money, and other trip-specific expenses as the expedition approaches.
